The purpose of this page is to elaborate on the financial rules applied at AKESO Clinic for inclusions, exclusions of the package, cancellations, refunds, or postponement of other charges on your hair transplant.

Cancellation – A date has been booked by you, but you want to cancel your hair transplant at AKESO. And you are not planning it within the next 3 months at AKESO.

Postpone – You want to postpone your hair transplant date from your current allotted hair transplant date.

Refunds – What are the rules related to refunds after cancellations of the procedure?

Advance money – Money taken before surgery to book and confirm dates.

Cancellation rules and charges

Why cancellation charges for hair transplant surgery: – When a hair transplant date is booked for you, you are reserving 6 – 10 hrs of Operation theater, doctors, and staff time. Your reserved date and time are not offered to any other patient. So if you cancel it suddenly, then this date and time slot reserved by you may not get booked by some other patient. As a clinic provides surgery to doctors and employees these days, and pays fixed expenses like rent, etc, the clinic loses money if you cancel a date reserved by you.

Why not fixed charges for cancellation of surgery: – if a patient cancels a 1000-graft hair transplant procedure, then it is just 3 hrs of clinic time loss if he cancels surgery. IF the patient books for 2500 grafts, then the clinic may lose 7 – 8 hours of OT time. So we calculated the cancellation charges according to the package cost instead of fixed cancellation charges. Further, if you cancel your procedure 20 days prior to your booked date, the clinic has a high chance that it will get a second patient for that date by giving him some discount and offers. If you cancel it 3 days prior to the HT date, then the chances of booking that date by some other patient are less, so cancellation charges are higher.

Charges for International patients –

Rules and charges are the same as indian patients, but a refund of money after deducting cancellation charges is not available if any international credit card or international bank transfer is used. International patients can be refunded by Cash, Western Union, and MoneyGram. International patients can book through any indian bank account ( self or any relative or friend’s indian bank account )  to get a refund of the advance money like indian patients.  If you are not willing to use cash, Western Union, or MoneyGram to get a refund, then A credit note is issued to international patients, which can be utilized by them, their family members, or friends within 3 years for any service at AKESO hair transplant.

Rules and charges for Fixed Date Packages ( Elite, PREMIUM with Economy and Super Economy variant Packages )

Kindly note that if you wish to change the date, then charges equivalent to cancellation charges have to be deposited. Later on, when you deposit the bill on the day of the hair transplant on a new date, those charges are converted into date change charges. Suppose a category has a 10 % cancellation charge but only 5 % charge as a date change charge, then you have to deposit 10 % + GST when you make a request for a change of date. But at the time of final billing, only 5 % + GST will be charged, and the remaining 5 % will be utilised on the new date as Hair transplant charges.

Cancellation charges –

1. Cancellation 45 days before the scheduled date – Rs 1000
2. Cancellation 1 month before the scheduled date –  Rs 2000
3. Cancellation 15 – 29 days before scheduled date – Rs 5000
4. Cancellation 8 – 14 days  before scheduled date – 8 % of total package – if your ht package is Rs 100000 + GST, then you will be charged Rs 8000 + GST
5. Cancellation 3 – 7 days  before scheduled date  – 15 % of total package – if your ht package is Rs 100000 + GST, then you will be charged Rs 15000 + GST
6. Cancellation within 48 hours before 12.01 am of HT date – 20 % of total package – if your ht package is Rs 100000 + GST, then you will be charged Rs 20000 + GST
7. Cancellation after 12.01 am on the date of scheduled hair transplant surgery – 30 % of the total package – if your ht package is Rs 100000 + GST, then you will be charged Rs 30000 + GST

Cancellation date and time will be calculated as per your email or WhatsApp request for cancellation.

Date change charges –

Kindly note that no refund of the previous advance will be provided for a date change. Date change charges should be deposited to process the date change request. If you require any refund, then you can pay cancellation charges and book a hair transplant in the future. Date change charges will be added to your package on the next date.

1. 1 month before the scheduled date – No charges
2. 15 – 29 days before the scheduled date – No charges
3. 8 – 14 days  before the scheduled date  – 3 % of the total package – if your ht package is Rs 100000 + GST, then you will be charged Rs 3000 + GST
4. 5 – 7 days  before the scheduled date or start date of flexible date packages – 5 % of the total package – if your ht package is Rs 100000 + GST, then you will be charged Rs 5000 + GST
5. 48 hours – 96 hours before surgery date – 10 % of total package
6. 48 hours before 12.01 am of HT date – 15 % of total package – if your ht package is Rs 100000 + GST, then you will be charged Rs 15000 + GST
7. 12.01 am on the date of scheduled hair transplant surgery – 20 % of the total package – if your ht package is Rs 100000 + GST, then you will be charged Rs 20000 + GST

Change the date request, and the time will be calculated as per your WhatsApp date and time for the request.

Rules and charges for Flexible Date Packages

The following rule will be applied to calculate the charges

Cancellation charges If the Hair transplant date has not been allotted –

1. Cancellation 45 days before start date – Rs 1000
2. Cancellation 1 month before start date –  Rs 2000
3. Cancellation 15 – 29 days before start date – Rs 5000
4. Cancellation 0 – 14 days  before start date: Rs 8000
5. After the start date, if the hair transplant date is not allotted, then Rs 12000

Cancellation Charges – If your hair transplant date has been allotted

1. Cancellation 3 – 7 days  before scheduled date  – 15 % of total package – if your ht package is Rs 100000 + GST, then you will be charged Rs 15000 + GST
2. Cancellation within 48 hours before 12.01 am of HT date – 20 % of total package – if your ht package is Rs 100000 + GST, then you will be charged Rs 20000 + GST
3. Cancellation after 12.01 am on the date of scheduled hair transplant surgery – 30 % of the total package – if your ht package is Rs 100000 + GST, then you will be charged Rs 30000 + GST

Date change charges –

Kindly note that no refund of the previous advance will be provided for a date change. Date change charges should be deposited to process the date change request. 1. 50 % of cancellation charges if the hair transplant date is not allotted
2. 65 % of cancellation charges if the hair transplant date has already been allotted.

Payment schedule for Fixed date Surgery

1. 10 % as an advance for booking surgery
2. 30 % payment – 7 days prior to surgery
3. Rest 70 % payment – on the day of surgery before 11 am

Other charges

Other than the charges described above, the following charges are applicable

Use of a credit Card or an INTERNATIONAL DEBIT CARD for payment 

1. If your package is a discounted package – Premium 1 Package, then no extra charges for credit card payments
2. If you are on the premium 2 package or flexible date packages, which are already discounted, then 3 % charges will be collected if you pay by credit card.

Use of an INDIAN Debit Card for payment 

1. If your package is a non-discounted package – Premium 1 Package, then no extra charges for debit card payments
2. If you are on the premium two package or flexible date packages, which are already discounted, then 1 % charges for Indian domestic cards and 3 % charges will be collected if you pay by an international debit card.
